Start with the acceptance question, not a finish name

The useful question is not simply, "Can you supply hairline stainless?" It is, "What physical reference, directional map, material grouping and inspection method will control the visible result on this particular panel set?"

Hairline is a family of directional appearances rather than one universal visual outcome. The observed lightness and contrast can change with the underlying surface, abrasive path, line density, lighting geometry and viewing angle. Research on flat stainless sheet shows that visual appearance can be evaluated through optical and surface characteristics, but it also demonstrates why a finish name alone does not capture what a person sees [1]. A buyer therefore needs to define the intended appearance through project evidence, not assume that the word hairline transfers an identical result between suppliers, batches or fabricated faces.

Begin by separating responsibilities. The customer owns the appearance requirement, the approved physical sample, the panel design, visible-face schedule, fixing concept, project requirements and final acceptance criteria. StelPanel can review the package for manufacturability and can fabricate, finish, protect, inspect and pack only within the confirmed manufacturing and delivery scope stated in the quotation. That boundary matters because a fabricator cannot infer an architect's visual hierarchy, decide which adjacent panels must read as one field, or convert a screen swatch into a physical promise.

The first RFQ should identify where the panels will be seen, which faces are critical, how parts meet, whether replacements may be ordered later, and who has authority to approve the reference. It should also state whether the request is for sheet supply or fabrication to drawing. These facts shape the control plan. A small isolated trim and a repeated wall field may use the same descriptive finish name while needing very different numbering, grouping and acceptance records.

02 / DIRECTION DATUM

Build one direction datum that survives every file

A directional finish behaves differently along and across its grain. Anisotropic reflection is the technical reason a brushed or hairline surface can brighten, darken or reveal a mismatch when either the light or observer moves [2]. The drawing package should therefore establish one direction datum that can be followed from the approved sample to the sheet layout, flat blank, formed component, elevation and packing label.

Choose a datum meaningful to the finished installation: for example, "grain parallel to project vertical" or "grain from datum A toward datum B." Avoid instructions such as "grain lengthwise," "grain up" or "same as sheet" unless the referenced view and sheet orientation are unambiguous. A rectangle can rotate during nesting, and a CAD viewport can rotate without changing geometry. The arrow needs a named origin, a destination and a relationship to a controlled drawing view. If mirrored parts exist, say whether their visible grain remains parallel in the installed elevation or mirrors with the geometry.

Repeat the same arrow convention on the finish schedule, each relevant flat pattern, each formed-part view and the overall elevation. Give the visible face a stable identifier such as VF, not merely "front," because a return or folded blank may be viewed from either side in manufacturing files. Where a panel has more than one visible plane, mark each plane and state whether the grain continues through the fold, changes direction by design, or requires separate pieces. Do not rely on the protective film print, sheet dimensions or file orientation to communicate design intent.

Finally, include a simple direction legend in the issue sheet. It should define the arrow, the visible-face symbol, the project datum and any permitted exceptions. This makes review possible before material is processed. It also gives receiving inspection a direct comparison: drawing arrow, part label and installed position should agree. The objective is traceable intent, not a decorative arrow added after nesting.

03 / FACE + FORM

Carry direction through folds, returns, joints and replacements

Direction control becomes more demanding when a flat decorative sheet becomes a panel. The visible field may include a front plane, narrow returns, hems, corner pieces, trim and joint edges. On the drawing, identify the visible face of the flat blank and show which surfaces remain visible after forming. Mark the grain on the finished view as well as the flat pattern. This helps the fabricator review whether the requested visual relationship can be produced with the proposed part construction.

At a fold, the same physical grain may appear different because the plane turns relative to the light. That shift is not automatically a batch defect. The drawing should distinguish an intentional change caused by geometry from an unacceptable direction reversal on coplanar panels. If a front face and return must be evaluated together, state where they are viewed from and which face has priority. If a corner is built from separate pieces, define the seam location and whether grain lines are intended to align, remain parallel, or meet at a deliberate change.

Panel sequence also belongs in the finish package. Assign a unique panel mark and installation position before quotation when a repeated field is visually sensitive. Ask for labels to remain on non-visible or protected locations and describe when they may be removed. For multi-panel elevations, provide a map showing adjacent positions. This allows material grouping and fabrication records to be tied to actual locations rather than to a loose quantity of nominally identical rectangles.

Replacement strategy should be discussed early. A later panel made from a different material or finishing run may not be visually indistinguishable from the original field. The project team can decide to hold spare pieces, preserve a control sample, accept a defined replacement zone, or evaluate replacements under an agreed protocol. StelPanel should not promise an invisible future match without confirmed evidence and scope. The practical objective is to preserve enough records for a reasoned decision if a replacement is needed.

04 / PHYSICAL REFERENCE

Make the approved physical sample the controlling appearance reference

Digital renderings, browser swatches and photographed samples are useful for initial selection, but they are affected by capture, display, compression, ambient light and surface angle. Surface texture itself can alter perceived colour, even when nominal colour information is held constant [4]. For that reason, the approved physical sample should be identified as the controlling reference for colour, line character and overall appearance within the agreed inspection method.

Give the sample a durable reference ID, approval status, approval date and custodian. Record which side is evaluated, mark its grain direction, and state whether it represents the target or only an initial selection. Link the ID in the finish schedule and drawings; do not substitute a colour name later. If colour measurement is part of the project, define instrument, geometry, aperture, measurement locations and decision rule. CIELAB coordinates are standardized in ISO/CIE 11664-4, but a coordinate set alone does not describe directional reflection or every visible characteristic of a hairline surface [5]. The CIEDE2000 formula can quantify a defined colour difference, yet it still needs project-agreed measurement conditions and limits [3].

One central target may be insufficient for critical work. The customer may choose to approve boundary or limit samples that show the acceptable range for a named characteristic. If so, identify what each sample controls: overall hue, brightness, line density, scratch visibility, or another agreed feature. Do not call an arbitrary sample a limit sample without documented approval. The acceptance package should also state whether small local marks, edges, weld zones or formed returns are assessed by the same reference or by separate workmanship criteria.

Protect the reference from contamination, abrasion and uncontrolled handling, and retain an agreed counterpart where practical. The quotation should state who holds each reference and how disputes will be compared. 05 / BATCH IDENTITY

Define what a batch means and where mixing is allowed

The word "batch" is often used without saying which operation it describes. Base sheet may carry a heat, coil, lot or supplier reference; a decorative finish may be applied in a separate run; colour treatment, protective film, fabrication and packing may each create another grouping. The RFQ should name the identity that matters to appearance and ask the quotation to confirm which identifiers can actually be recorded. Do not assume that a material heat number is also a finish-batch guarantee.

Create a batch identity chain suited to the accepted scope: incoming material reference, finish or coating route where applicable, processing group, panel marks and packing group. Exact fields depend on the confirmed supply chain. If a colour treatment is partner-supplied, record that route truthfully rather than implying an in-house line. If StelPanel cannot preserve a requested identifier through a step, that gap should be resolved before release, not hidden behind a generic certificate request.

The customer should define mixing rules by visible zone. Examples include no unapproved mixing within one continuous elevation, separate grouping for opposing walls, or explicit acceptance of mixed groups on non-adjacent trims. These are project decisions, not universal hairline rules. Show zones on the elevation and tie each panel mark to a zone. The fabrication and packing plan can then keep groups identifiable without claiming that every item in a group will look identical under every light.

When a process group changes, use a hold point before that material enters a critical visual field. The response might be a comparison piece, a documented review or a revised allocation map, depending on the contract. Record the decision and the responsible approver. This transforms batch control from a vague procurement request into a practical segregation and release method.

Write a repeatable viewing protocol before inspection

Appearance acceptance becomes unstable when one party examines a panel under raking sunlight at arm's length and another views it under diffuse workshop lighting from across a room. A viewing protocol should be agreed before production and used for samples, in-process comparisons and final acceptance. Define the viewing location, light source or environment, observer position, distance, angle, panel orientation, background and adaptation time where relevant. Also define whether protective film is present or removed and how long the surface may be conditioned before review.

ISO 3664 specifies viewing conditions for graphic technology and photography, not for acceptance of fabricated stainless panels. Its official record is nevertheless a useful reminder that illumination, surround and observation geometry must be controlled when appearance comparisons are intended to be repeatable [7]. A project should write its own panel-specific method instead of claiming that ISO 3664 certifies the result. For directional metal, include at least one view that represents the installed orientation and expected lighting relationship.

Separate overall appearance from local workmanship. An overall review might ask whether adjacent coplanar panels read as a coherent field from an agreed position. A local review might inspect scratches, dents, edge damage, handling marks, seam transitions or contamination at another distance and under another light. State which method controls each defect category. Without that separation, a macro inspection can reject normal directional variation, while a distant view can miss local damage that should be addressed.

Photographs may support the record but should not replace physical observation unless the parties explicitly agree on a calibrated capture workflow. Ordinary phone photographs can exaggerate or suppress lines, reflections and hue differences. Record the actual viewing setup and decision, not just an image. If the installation environment is unavailable during fabrication, agree on a representative interim setup and a separate site-review boundary.

07 / ACCEPTANCE PLAN

Turn appearance language into an acceptance plan

An acceptance plan connects requirements to evidence, timing and authority. For each characteristic, list the reference, inspection stage, method, result format and decision owner. Surface-texture vocabulary can be informed by ISO 21920-2, while its official scope should not be stretched into a complete visual acceptance standard for decorative panels [6]. A profile parameter may help describe a surface, but it cannot by itself decide whether a directional panel field has the intended appearance.

Use hold points where correction remains practical. Typical decision stages may include sample approval, first processed piece, first formed panel, pre-pack comparison and receiving review. The exact stages are agreed for the project and must match the quotation. Define sample size or coverage without inventing a universal percentage. Identify what happens after a nonconformity: segregate, review against the controlling reference, document disposition and obtain authorization before mixing or shipment.

The record should preserve panel mark, relevant batch identity, direction check, sample reference, viewing protocol, observed result, disposition and reviewer. If an instrumental reading is required, retain the raw values and setup as well as pass or fail. If visual judgment controls, record the approved observer or authority and the comparison setup. Avoid statements such as "colour must match exactly" or "no variation" unless the customer has defined an attainable, measurable rule and the fabricator has accepted it in scope.

Acceptance should also distinguish StelPanel's work from downstream conditions. Site handling, installation orientation, adjacent materials, cleaning products and final lighting can change what is seen. Those responsibilities should be allocated in the project documents. Issue one quote package that connects the sample to every panel

A complete request allows capability and control questions to be answered before price and production assumptions harden. Send the drawing geometry available for review, a dimensioned PDF, finish schedule, physical-sample reference, direction legend, visible-face map, panel sequence, quantities, batch-zone rules, viewing protocol, acceptance matrix, protection requirements, destination and target timing. Identify which documents control if files conflict and provide a revision register.

Ask StelPanel to confirm, at quotation, the proposed material and finishing route, whether colour processing is internal or partner-supplied, achievable fabrication route, relevant tolerance proposal, sample-control method, batch identities available, direction marking, protection, inspection records and packing scope. "Capability to confirm" is a valid answer while facts are under review. It is more useful than an unsupported promise about coating ownership, finish uniformity, equipment, envelope, lead time or future replacement matching.

Before release, close every open item affecting visible appearance. The release should name the controlling drawing revision and approved physical sample, list accepted deviations, assign panel and zone marks, and identify approval authority. If a sample changes, update the linked schedule rather than relying on an email description. If the geometry changes, review whether grain, seam, batch or protection logic also changes.

The practical specification is a connected chain: physical sample to finish schedule; finish schedule to direction datum; direction datum to every visible face; panel mark to batch identity and zone; viewing protocol to acceptance record. When that chain is intact, hairline panels can be quoted and reviewed against shared evidence. When it is missing, the project is asking a finish name to carry decisions it cannot contain.
